Refund & Course Cancellation Policy
Fees Payable
Payment for the course is required at the time of booking either with Visa or Mastercard. A tax receipt will be sent upon payment of the course. Rescheduling fees are required to be paid at the time of the reschedule request.
Please be advised that your Certificate will not be released until all course fees including any additional fees incurred (rescheduling fee) have been paid in full. FirstAidPro accepts payment for fees using only a Credit Card through the Learning Management System.

Rescheduling Policy (Fees & Limits)
Notice period & fees:
- More than 48 hours before your course start time: $10 (inc. GST) per reschedule.
- 48 hours or less before your course start time: $25 (inc. GST) per reschedule.
Payment:
- Fees are payable at the time of rescheduling. Your new booking is not confirmed until payment is received.
Limits:
- You may reschedule a maximum of three (3) times within one (1) month of the original course date.
- After the third reschedule, your booking will be cancelled.
Medical certificate:
- If you provide a valid medical certificate, we will reschedule at no charge. (Reschedule limits still apply.)
Course Upgrades
- A $50 (inc. GST) fee applies for upgrades between HLTAID009, HLTAID011, and HLTAID012 (exclusive of Zoom courses).
- A $75 (inc. GST) fee applies for upgrades between Zoom HLTAID009 CPR and HLTAID011 First Aid courses.
- A $75 (inc. GST) fee applies for upgrades between Zoom HLTAID011 First Aid & Zoom HLTAID012 Childcare First Aid courses.
- Students must attend the upgraded course in full to obtain the upgraded qualification.
- If the upgraded course includes an online exam/online learning component, you will be required to complete it as part of the upgrade.
- Note: Upgrade fees are separate from any rescheduling fees.
- Please note that course upgrades must be requested and completed within two (2) weeks of your original course date. Requests made after this period will not be eligible for an upgrade.
- Upon successful completion of the upgraded course, your original course certificate will be revoked and replaced with the new qualification certificate reflecting the upgrade.
Extension Fee Policy
Policy Statement
All online courses delivered by First Aid Pro have set enrolment expiry dates to ensure learning is completed in a timely manner, remains current, and meets compliance requirements. Students who do not complete their coursework within the allocated timeframe will have their access locked and may only continue their course if an extension is granted.
1. General Online Courses
- Completion Timeframe: Students havethree (3) months from the date of enrolment to complete their online course work.
- Extension: If the course is not completed within this timeframe, access will expire and students must pay a $50 extension fee.
- Extension Duration: The extension provides an additional 7 days of access only.
- Limitations: Only one extension may be granted unless exceptional circumstances are demonstrated.
2. HLTAID Units of Competency
This applies to the following courses:
- HLTAID009 – Provide cardiopulmonary resuscitation
- HLTAID011 – Provide First Aid
- HLTAID012 – Provide First Aid in an education and care setting
- HLTAID013 – Provide First Aid in remote or isolated site
- HLTAID014 – Provide Advanced First Aid
- HLTAID015 – Provide Advanced Resuscitation and Oxygen Therapy
Rules for HLTAID Units:
- Completion Timeframe: Students must complete online learning within one (1) month of course date.
- Extension: If the course is not completed within this timeframe, a $50 extension fee will apply.
- Extension Duration: The extension provides an additional 7 days of access only.
- Eligibility Window: Extensions must be requested within 1 month of course expiry. After this period, students must re-enrol at full course cost.
- Limitations: Only one extension will be granted per enrolment. No further extensions will be considered.
Refund Policy
No Show for a Non-Cancelled Course
Students who fail to attend without prior cancellation have one (1) opportunity to reschedule their course within one (1) month from the original course date.
A rescheduling fee of $25 applies.
If the rescheduling timeframe is missed, students must enrol in a new course and pay the full course fees.
Rescheduling
a. Non-Cancelled Courses by FirstAidPro:
- Students are allowed up to three (3) opportunities to reschedule their course within one (1) month from the original course date.
- A $10 rescheduling fee is payable at the time of rescheduling.
- If rescheduling is not completed within this timeframe, students must enrol in a new course and pay the full course fees.
b. Cancelled Courses by FirstAidPro:
- Students may reschedule their course within three (3) months of the original course date without penalty.
- Alternatively, students may request a refund using the existing refund form. Click here to access the refund form.
Cancellation Requests
If a student wishes to cancel their enrolment, First Aid Pro Australia offers the option to gift the course to a family member or friend. If the student proceeds with cancellation, the following conditions apply:
- Fourteen (14) days or more before the course commencement date: Full refund provided.
- Two (2) business days or fewer before the course commencement date: Cancellation fees apply. (Please see above schedule)
- Non-attendance, incomplete disclosure of required information, or insufficient ID on the course date: No refund will be issued.
- Non-completion of the course after three (3) months from the original course date: No refund will be issued.
- Withdrawal after the course or exams have commenced: No refund will be provided.
Course Pricing and Discounts
a. Course Price at Time of Booking:
- The course price quoted at the time of booking remains fixed for the duration of the student’s enrolment.
b. Non-Applicability of Future Discounts:
- Discounts, promotions, or special offers introduced after a booking will not apply to previously booked courses.
c. Commitment to Booked Course:
- Once a course is booked, the student commits to the specified course and its price, regardless of subsequent discounts or offers.
d. Price Changes for Future Courses:
- While the price for a booked course will remain unchanged, First Aid Pro Australia reserves the right to adjust prices for future courses.
e. Communication of Discounts:
- Discounts or promotional offers will be communicated clearly at the time they are introduced.
- Students are responsible for staying informed about current promotions.

Replacement White Cards
If your white card is lost or damaged you can request a replacement card by contacting us. Depending on where you are located, the following applies:

- South Australia – Contact us for a replacement. A $50 fee applies.
- Northern Territory – You must apply directly with the NT Government within 60 days of course completion. Visit this link for more information.
If you are located in the Northern Territory and do not apply for your replacement White Card from your state government within 60 days of course completion, you will require a letter from First Aid Pro Australia stating that you have completed the course to apply.
*Please Note: We will issue a letter for students only up to 4 months after the completion of the white card course. If over 4 months have lapsed, you will be required to attend the White Card Course again at full price.
Switching From Zoom to Face-to-Face-Courses & Upgrade Fees
If a student initially enrols in a Zoom course and later chooses to attend a face-to-face course, the following conditions apply:
- Zoom Kit Not Yet Dispatched: A full refund of the Zoom course fee may be provided.
- Zoom Kit Already Dispatched: A refund will be issued less a $50.00 fee to cover courier & dispatch costs.
*Please note: Students who switch to face-to-face training once a Zoom training kit has been dispatched are responsible for the kit and any associated costs.
Zoom Course Upgrade Fees
A $75 upgrade fee applies when upgrading from the Zoom HLTAID009 CPR Course to the Zoom HLTAID011 First Aid Course, or from the Zoom HLTAID011 First Aid Course to the Zoom HLTAID012 Childcare First Aid Course. This fee covers the cost of issuing and dispatching the additional required first aid training package.
Zoom Course Equipment Return Policy
Students enrolled in Zoom-delivered courses who receive training kits or equipment as part of their enrolment are required to return all items in good condition upon course completion.
- Certificate Release: Student certificates will not be issued until all loaned equipment has been returned.
- Return Window: Equipment must be returned within 2 weeks of course completion.

Non-Return Consequences:
- After 4 weeks, if the equipment has not been returned, students will be issued an invoice for $250 to cover the cost of the kit.
- If the student fails to return the kit or pay the invoice, the account will be referred to a debt collection agency for recovery.
- Proof of Return: Please retain tracking or delivery proof to avoid disputes or certification delays.
